Bulk Update

About bulk update

This help page explains how to update selected core fields for more than one record at a time using the Bulk Update action. This is usually performed by RME administrators. As an example, this could be useful to update the status of multiple records. For all records you select, all of the core fields that you choose to update must be the same.

Currently this is only offered for Ethics and Project records.

The Bulk Update action is only available for users with the Bulk Update page action assigned in the Page Views in the relevant module. The records and fields that can be included in a bulk update are also configured in Page Views.

Update records in one bulk action

1.     In the module search page, search for the records you want to update so that they are displayed in the Results tab.

2.     Tick the checkbox to the left of each record you want to update in the grid.

3.     In the toolbar, select the Action button, then the Bulk Update option.

4.     The Bulk Update popup displays, listing core fields for the module that allow bulk updates. For each one that you want to update for the selected records, complete the following:

Next to each field you want to update, slide this to Yes

If the field has a dependency, make sure you select this field as well. If it is not shown, contact your RME Administrator. Example: Withdrawn also requires that a date is entered, so the date field should be selected.

Action

From the dropdown, indicate what you want to do for each field:

        Update Populated or Blank - to populate the field, either if blank/placeholder or by overwriting the existing value

        Update Blank Only - to populate the new value only if the field value is blank, zero (0), or with placeholders such as "Please Select" or "Not Specified", to preserve existing completed details

Enter the data that you want to populate in the field

Depending on the field, this may offer a lookup to search for and select items, a date picker for dates, or a dropdown of defined options.

 

5.     When you are happy with your changes, go to the Confirm Bulk Update slider and slide it to Yes to confirm that you want to continue.

6.     To start the update process, click the Start button.

7.     The results of the update display. The Status column indicates if the update was processed correctly or if there were issues:

        Updating ...:  Records are still in progress; large amounts of data are grouped into chunks to process

        Success: Records were successfully updated

        Failed: A value entered for the field is not in the right format, is invalid, has a conflict with another field, or is blank
To rectify this, click the item to display an explanation of the problem. Click Back to return to the Bulk Update popup, fix the issue, and repeat from step 5.

        Error: Records were not updated due to a technical disruption, such as a server failure, or HTTP errors
Click the item to display an explanation of the problem. You could wait for a while and try again, or contact your IT Administrator for assistance.

8.       Click Close to return to the search page.
