About this page

This page is used to record specific information about a contract.

When a contract record is created, only minimal information is required initially. Additional information is entered over time as the project progresses.

The minimum system requirement to create a Contract record is the Contract Code, Title and Contract Type.

Validation of dates and date/status combinations are enabled or disabled in System Preferences, Contract Preferences.

Menu path: RME > Contracts > Contract (Search) > Contract

 

Add a new contract

1.     In the RME Menu, select Contracts > Contracts to display the module search page.

2.     In the toolbar, click the New button.

3.     Complete the fields, using the tables below as a guide.This page has several sections to complete.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button. When the details are saved, related items become available to record additional details.

Additional details about the contract or the restrictions to Intellectual Property

Additional information, as determined by your institution

Location of the hard copy of the Intellectual Property agreement

Confidential?

Indicates if the contract record is confidential

Contract Code

Unique code to identify the contract record

This can be configured to allow the user to enter a value or for the system to auto generate the code. For details, see User Code configuration.

Contract Status

Status of the contract

Contract Type

Type of contract, from a defined list

This field is used to assign access to data records. To be able to view a Contract record of a particular contract type, your RME Administrator must assign access to that contract type to your user record or role. See: Contract Access Security

If the contract is no longer current, slide this to No.

Date Agreement From

Start date of the agreement period of the contract

Date Agreement To

End date of the agreement period of the contract

Date Approved

Date the contract was approved

Date Combined

Date contract was combined with another, if relevant

Date Renewed

Date the contract was renewed, if relevant

Date Transferred

Date the contract was transferred, if relevant

Date Withdrawn

Date the contract was withdrawn, if relevant

Description

Full description of the contract

Distribution Arrangements

Details about how the Intellectual Property will be distributed, for example, online documents

End Date

End date of the contract

Entry Status

Contract data entry status

File Reference

File reference number, for example, if a hard copy file exists for the contract

Folio Reference

Physical location or folio number, for example, if a hard copy file exists for the contract

Forecast Income

Expected income from royalties

Has IP?

Indicates if there is intellectual property resulting from the research

If Yes, the Intellectual Property section fields will become editable.

Intellectual Property

Title used to register the Intellectual Property

IP End Date

End date of the Intellectual Property

IP Start Date

Start date of the Intellectual Property

IP Type

Type of restriction applied to the Intellectual Property

Other Comments

Additional information about the contract

Primary Committee

Read only

Committee marked as the primary for the contract in the Committees related item

Primary Contact

Read only

Person marked as the primary contact for the contract in the Personnel related item

Primary Org. Unit

Read only

Org. Unit marked as primary for the contract in the Org. Units related item

Progress Status

Progress status of the contract

Restriction Details

Information to explain the restriction applied to the Intellectual Property

Restriction End Date

Date the restriction ends

Restriction Start Date

Date the restriction starts

Royalty Rate

If the Intellectual Property generates royalties, the royalty rate as a percentage value

Must be between 1 - 100 inclusive

Start Date

Start date of the contract

Title

Title of the contract

Version

Indicates a version of the record

If the version is empty, no other version of the record exists. If the version is 0, this is the original record based on which the version was created. The record will be non-current if a higher version of the record exists. Only one version of the same record can be current at any time.

To find all versions of the same contract, you may be able to use Advanced Search using the contract code, depending on your access permissions. For more, see: Copy records and versions.

Related items

When you save the contract details, additional related items are displayed.

All related items are listed in the Help Table of Contents to the left of this page.  Help pages are also context-sensitive, so you can click Help on an RME page to view the related help content.

 

Manage Contract records

You manage core records from the module search page, Results tab. Select records in the grid and select the New, Delete and Export buttons on the toolbar in Contracts search.

To manage a related item, open it from this core page and select from the Add, Delete and Export links at the right of the related item. To edit an item, click the row to display the details.
