User Codes Configuration

This page is used to define the format of user codes for most of the main RME tables (shown in the module main page list).

For each table you can determine:

        Whether the user code will be automatically generated by the system or manually created by the user.  

        The format of automatically generated codes. For example, you can set the year as a prefix to a code and it will be updated annually to denote in which year the record was created.

         A code can include a prefix, month and year, separator, and counter.

Enable automated user codes or edit the user code

To edit the user code or enable automated user codes, follow these steps:

1.     From the RME menu, select System > User Codes Configuration.

2.     In the list of user codes, click on the record in the grid for the code you want to enable or edit.

3.     In the user code details page, either:

        Enable the  Auto Generate option for automatic code generation (Yes).

        Change the details using the table below as a guide.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button.

Indicates whether the system will automatically generate the user code for the table (Yes), or the user will be able to manually enter a code (No)

Prefix

Prefix for auto-generated user codes, if you wish to use a prefix

Maximum: 10 characters

Leave blank if you don't want a prefix to the code, or if the Auto Generate option is No.

Month & Year Format

Prefix the code with a year, or a month and year

Formats allowed: YYYY, YYYYMM, YYMM, MMYY, or MMYYYY

Separator

Separate the defined prefix and the counter, if used

Maximum: 1 character

Separators allowed: Forward slash “/”, full stop “.”, hyphen “-“ and pipe “|”

Counter Starts From *

Mandatory

Number that the auto-generated code should start from

Pad To (#of chars)

Number of characters to pad with zeros if the code is shorter than the maximum

If the length of the current counter is less than the length specified in this field, zeros will be added to the start to make the counter length equal to the defined Pad To setting.

If the length of the current counter is equal to or larger than the defined Pad To setting, the counter number will be converted to a string as it is.

Maximum: 20 characters

Examples:

        Current counter is 200 and Pad To = 4;   Result: The counter displays as 0200.

        Current counter is 1, Pad To = 6;    Result: The counter displays as 000001.

        Current counter is 160 , Pad To = 2;    Result: The counter displays as 160.

Last Used Number

The last counter used in code auto-generation

This cannot be reset, for example, back to 1.

Sample Pattern

Displays what the code you have configured will look like; it is visible after you save

Examples:

        Configure the Person user code with Prefix as PER, Separator as blank, Counter Starts From: 200 and Pad To: 4 characters. The sample pattern will be “PER0200”

        Configure the Project user code with Month & Year format as YYYYMM, Separator as a hyphen (-), Counter Starts From: 1 and Pad To: 6 characters. The sample pattern in January 2019 will be “201901-000001”

Notes:

        If you change the user code format or the way it is generated, make sure that there will be no possibility that codes can be duplicated.

        Committee and Panel user codes share the same configuration.

Disable code auto-generation

To disable user code auto-generation, follow these steps:

1.     From the RME menu, select System > User Codes Configuration.

2.     In the list of user codes, select the record in the grid for the code you want to enable or edit.

3.     Change the Auto Generate option to No.

4.     In the toolbar, click Save.
