Concept of context for a person

About this help page

The Personnel and HDR Student modules record information that is relevant to an individual in the system. An individual may have a Personnel record or a Student record at the same time. RME manages this by creating one unique record for an individual that is shared across both modules, but only presents the information that is relevant and specific to the individual’s ‘context’ within each of these modules, that is, Person or Student contexts:

•        If you are in the Personnel module, you will see information relevant to the ’Person’ context.

•        If you are in the HDR Student record, you will see information relevant to the ‘Student’ context.

If you do not use the HDR Student module, you will only have Personnel records of the ‘Person’ context.

Person types related item

The Person Type related item in the Personnel module shows the different Person Types an individual has in RME, and what context each relates to (their Person or Student details). There can only be one current Person Type per context.

In the example below, this individual’s Person Type shows them as having details appearing in both modules. Currently they are an Internal Academic and an HDR Student. They were also previously a general staff member for the institution.

Grouping of related items for Personnel and Student records

The information that can be edited and/or viewed in the different related items for each of these modules is determined by the kind of information it contains and relevance to the module. For example, common information that applies to an individual across both modules, such as name, date of birth and languages, can be viewed and edited from either module. This is compared to Organisational Units, where an individual’s Person record can be linked to a different Org. Unit than their Student record, and only the Org. Unit specific to that context can be viewed or edited within that module.

The table below lists all of the related items that appear in the Personnel and Student modules, grouped together based on their relevance to the modules and their behaviour within and across the modules.
