About copying an existing eForm

This help page explains how you can copy an existing eForm to use as the starting point for a new eForm if you have the required permission. This allows you to create a new eForm with most of the same details in the original eForm, which you can then edit to suit your needs. This feature is only available for Contract, Ethics and Project eForms, if you have the required permission (Allow eForm Clone page action).

Copy an existing eForm

1.     Go to the eForm listing page and in the grid, select the eForm you want to copy by clicking the checkbox to the left of it.

2.     Select Copy from the toolbar at the top of the page.

3.     A confirmation message displays. Click OK. It will copy all the details from the existing eForm to the new one, except for the following:

        All date fields; these will be blank in the new eForm

        All status fields; these will be set back to the default value in the new eForm

        All review-related details including comments, responses and review results; although comments are not copied, however, the levels enabled in the original eForm template will be enabled on the copied eForm

        Sign-offs or approvals

The new eForm will be set to the initial state of the associated workflow associated with the eForm template, such as Draft.

For an Ethics multi-form, the new eForm will be created based on the primary eForm template and its workflow.

 

Access and permissions

Administrators: To provide this function to users, you need to assign the page action: Allow eForm Clone in the Page View for the relevant eForm listing pages: RPR (RPR005M), Ethics (ETH003M), and/or Contracts (CON001M).  

Note that this is not the same function as the Based on Existing Record eForm template property, which when configured, allows users to create an eForm template that automatically populates fields from a core record or, in special cases, another eForm. The Based on Existing Record function is usually used to create forms for amending details in an original, approved form, such as Ethics application amendments.
