This help page explains how to batch a Significant Event, to add the same event to more than one record. This is usually performed by RME administrators.
This feature is available for all modules.
Prerequisite: The Batch
button only displays on the toolbar
for Significant Event records for users with the
Significant Event Batching
page action assigned in the Significant Event Page View in the relevant
module.
1. Create a new Significant Event, or select and open a Significant Event that you want to add to more than one record in a batch.
2. Complete or update the Significant Event details as needed and click Save.
3. If your Significant Event requires an email, open the Email sub-item and click Add. Configure the email as required then click Save. Return to the Significant Event record via the breadcrumb trail.
4. In the toolbar, select the Batch button.
5. In the search popup, specify your search criteria to find the records you want to add the Significant Event to.
6. Click Search. The results display in a grid.
7. Select the records you want to add the Significant Event to. If you want to select all records listed in the search results, click the checkbox in the header row of the grid.
8. When you are happy with your selection, go to the Confirm Batch Operation slider and slide it to Yes to confirm that you want to continue.
9. To start the batch process, click the Start button.
10. The results of the batch operation display. The Status column indicates if the update was processed correctly or if there were issues, as follows:
• Success:
This indicates that records were successfully updated and your batch process
is complete.
Click Close to return to the original
Significant Event for the batch. You can now
close the Significant Event related item and the record.
The Significant Event will be immediately created for all selected records.
If there is an email attached to the batched Significant Event, it will
be sent on the scheduled date as defined in the Date
of Action field. The time at which it is sent on the scheduled
date is dependent on how the email scheduling service is configured for
your institution.
• Updating ...: This indicates that batching is still in progress; note that large amounts of data are grouped into chunks to process.
• Failed:
This means that an entered value is not in the right format, is invalid,
is blank, or an email for the Significant Event contains a recipient that
is not in the record, not current or is marked as deceased.
To rectify a failed item, click
it to display an explanation of the problem. Click Close
to return to the original Significant Event. For
each failed item, fix the issue as indicated. Once issues have been fixed,
repeat the batch process from Step 5 above for the previously
failed records only.
• Error:
This often means that records could not updated due to some kind of technical
disruption, such as a server failure, or HTTP errors.
Click the item to display an explanation of the problem. You could wait
for a while and try again, or contact your IT Administrator for assistance.
