This page is used to add a new scholarship round or edit an existing one, as part of the Scholarship Management and Payments Tool (SMPT). Scholarship rounds are set up so that the scholarship administrator control over the scholarships offered at a particular time. Scholarship round dates cannot overlap.

Some scholarships are always available and these can be defined under a specific round that is marked as always open (Always Open Round).

Menu path: RME > HDR Students > Scholarship Rounds (Search) > Scholarship Rounds

 

Add a new scholarship round

1.     In the RME Menu, select HDR > Scholarship Rounds.

2.     In the toolbar, click the New button.

3.     Complete the fields, using the table below as a guide.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button.

Scholarship Round: Fields

Default Field Label

Description

Always Open Round

Indicates if the round is always available, with no defined dates

Scholarships that are always available can be linked to this round.

There can only be one Always Open Round at any time.

Closing Date *

Mandatory; Not editable for the Always Open Round, and hidden on Save  

Date the round ends

This cannot be before the round Start Date, or before any of the special closing dates defined for External, Internal or International applicants (below), or defined separately for any Scholarships added to the round.

It also cannot overlap with any other round dates.

External Closing Date

Not editable for the Always Open Round, and hidden on Save

Date the round closes for applicants outside your institution but within the same country

This cannot be before the Start Date or after the Closing Date for the round.

Internal Closing Date

Not editable for the Always Open Round, and hidden on Save  

Date the round closes for internal applicants within your institution

This cannot be before the Start Date or after the Closing Date for the round.

International Closing Date

Not editable for the Always Open Round, and hidden on Save  

Date the round closes for applicants that reside in another country

This cannot be before the Start Date or after the Closing Date for the round.

Round Code *

Mandatory

Unique identification code for the round, which may be based on your internal code schema

Round Description

Detailed information about the round to clearly distinguish it from others

Start Date *

Mandatory; Not editable for the Always Open Round, and hidden on Save

Date the round begins

This cannot be after the round Closing Date, or after any of the special closing dates defined for External, Internal or International applicants (above), or defined separately for any Scholarships added to the round.

It also cannot overlap with any other round dates.

Year *

Year in which scholarships will be offered for the round, from a list that includes the current year and the following five years

 

About start and closing dates

Each scholarship round can have additional closing dates defined for different types of applicants (internal, external or international). Each round includes a number of scholarships that are offered. Each of these scholarships can have their own defined closing dates defined for different types of applicants. All of these dates must be on or after the round Start Date and on or before the Closing Date.

If you change scholarship round dates, there may be impacts to the other dates for the round or scholarships in the round. An error message will be displayed and you will need to adjust any impacted dates manually.
