About this page

This page is used to capture the full details of a registered institution facility that your institution may make available for use in research, such as a laboratory or other space, piece of equipment, or a vehicle.

Facility records can be linked to other records in RME, as required. For example, they can be linked to Project, Ethics, Student or Personnel records.

eForm relationship

For biosafety ethics eForm applications, Facility records display in the Facility RIC for selection in the form.

For the Costing and Pricing Tool, Facility records display in the Facility RIC and Facility Usage RIC in an RPR eForm applications and in the tool.

Menu path: RME > Setup > Facilities (Search) > Facilities

 

Add a facility

1.     In the RME menu, go to Setup > Facilities.

2.     In the toolbar, click the New button.

3.     Complete the fields, using the table below as a guide.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button.

Facility Details: Fields

Additional information, as determined by your institution

Capacity

Maximum number of occupants allowed in the facility

Must be a number

Campus

Campus where the facility is stored or located

Certificate Number

Only for biosafety

Number of the certificate document given by the regulator

Comments

Additional notes about the facility or its use

Contact Person

Name of the main contact person for the facility (free text)

Current?

Yes by default

Indicates if the facility is currently in active use

If the facility is no longer used, slide this to No.

Date of Certification

Only for biosafety

Date on the certificate provided by the regulator

Date Used From

Date from which the facility was first in use

Date Used To

Date to which the facility was last used

Description

Details about the facility to describe it

Facility Code

Unique code to identify the facility

You can configure RME to generate the facility codes automatically in User Code Configuration.

Facility Name *

Mandatory

What the facility is called

Facility Type

Group of resources the facility belongs to, from a defined list

Examples: Laboratory, Meeting Room,

Inspected By

Only for biosafety; read only

Person that inspected the facility on behalf of the regulator, from the Inspected By field of the most recent Annual Inspection Significant Event with a Completed status

Last Inspection Date

Only for biosafety; read only

Completion date from the most recent Annual Inspection Significant Event with a Completed status

Location

Address details for the facility

Maintenance Expiry Date

Date the institution ceases to maintain the facility

Phone Number

Contact phone number for the main contact person for the facility (free text)

Physical Containment Level

Only used for biosafety records

Level of certification as defined by the regulator

Security Number

Security code for the facility, if applicable

Status

Status details as required by your institution

Unit of Measure

Standard used to describe the physical quantity of the facility or equipment (how big, long or wide), or to apply to the rate for usage

Examples: Daily, Hourly, Terabyte

You can add items to the Unit of Measure category as needed

If using the Costing and Pricing Tool, this will display in a Facility Usage RIC grid in an eForm and on the Facility Usage page as a guide for usage allocation so you should complete this field appropriately. It is also used to guide the setting of facility rates in the Rates related item (only available with the Costing and Pricing product key).

Manage Facility records

You manage core records from the module search page, Results tab. Select records in the grid and use the New, Delete or Export buttons on the toolbar in  Facilities search.
