This page is used to search for, open and manage external user requests for access to RME.

While RME is accessible to all users entered into the system, often considered as "internal", you can also provide access to others outside your institution, such as external researchers, external students, external supervisors or external examiners.

External users request access via a separate Register web page (something like  https://[your environment name]/RME/app/register). Requests are then listed in this page with the relevant status.  

To limit their access to specific pages and eForms, use settings for default roles and AOUs. For details, see: External User Preferences and Roles.  

Before approving an external user request in the External User page, a matching process detects if there is an existing User or Personnel record based on the entered email address, ORCID iD and/or names. If there are potential matches, it lists these for further investigation on a case-by-case basis. For details about the full process including a video, see: External User overview.

To search for external user requests awaiting approval, you can use Advanced Search to find all entries with the Pending Approval status. See: External User record

When a request is approved, new User and Personnel records are created with the Person Type as External, unless an existing record is found in the matching process.

Search for records

Use Advanced search to find records.

1. Enter your search criteria in the fields. To add a line, click the green plus (+) icon.

2. To start the search, press <Enter> on your keyboard, or select the Find button on the toolbar.
    Records that match your search criteria display automatically in the Results tab.

3. To open a record from search results, you can either:

        Click the Open icon next to the item in the grid.

        Select the checkbox to the left of the item and click Find in the toolbar.

Re-send an 'Email Confirmation' email

If you need to re-send the 'Email Confirmation' email to a requestor, open the External User record and click the Re-send Confirmation Email button displays in the toolbar. This option only displays if the External User record status is Pending Email Confirmation and the original confirmation link (token) has expired. 

 

Delete a record

Select a record and click the Delete button on the toolbar to delete an External User record. See: Delete a core record

Note that for approved external users,  this only deletes the external user record; it does not delete the User or Personnel records that were created on approval.

 

Export record details

Click the Export button on the toolbar to export records. See: Export record details

 

External User reports

Click the Reports button on the toolbar to access reports about external users (if available). See: Reports

 

Change the column layout

If you want to change the layout of columns in the grid on this page, select the Columns button on the toolbar. See: Column management
