About this page

This page is used to record the student's details. When a Student record is first created, only minimal information is required. Additional information can be entered once the general details are saved.

Menu path: RME > HDR Students > Student (Search) > Student

 

Add a new student

1.     In the RME Menu, select HDR > Student.

2.     In the toolbar, click the New button.

3.     In the Student Code field, you can search for and add an existing person based on RME Person Code, or choose to create a new person in RME.

4.     Complete the fields, using the table below as a guide.

5.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button. When you save the basic details, additional related items appear.

Available for Public Portal?

Only if the Public Portal is licensed

Indicates if the student's details are to be shared in the Public Portal, available to the general public

If enabled, specific fields will be reflected in the portal, if available for the student. For details, see: Public Portal

Comments

Additional information about the student

Confidential?

Indicates whether the record is confidential (not to be disclosed to unauthorised people, as defined in Page View permissions)

Country of Birth

Where the person was born, from a defined country list

Source

Current?

Yes by default

Indicates if the Student record is currently active

If the student record is no longer current, slide this to No.

Date of Birth

Person's date of birth

Deceased?

Indicates if this person has passed away (Yes)

This sets the person as non-current and prevents emails from being sent.

Exception: If an email address is entered manually, the system does not check this indicator because the address could be for another person not in the system.

Enrolment Status

Read only

Overall enrolment status for the student, sourced from the course status in the Enrolment & Progress related item

Rules apply as follows for populating the Enrolment Status field:

        If the student does not have a course, this field is blank.

        If the student has one course, it will use the status from that course.

        If the student has more than one course, it will look for the current Primary and use the status from that course.

        If there is no current Primary, it will look for any current courses. If only one, it will use the status from that course.

        If there is more than one current course, it will use the status from the most recent course.

        If there are no current courses, it will look for any primary but non-current courses. If there is a Primary, non-current course, it will use the status from that course.

        If there is no primary, non-current courses, it will use the status from the most recent course.

To identify the most recent, courses are sorted by Start Date into descending order, and then the first record is selected. If a course does not have a defined Start Date, the record creation date is used instead (from Audit details).

Ext. Org. Code

Only editable once the Student Code is selected and saved; use either this field or the Organisation field

Lookup to search for and select an external organisation from the list of existing organisations if the person is external

For an existing external person, this is populated with data from the Personnel module. These details can be changed.

Once you select an organisation from the lookup, the Organisation field will become read only.

First Name

Person's official given name

Full Name  *

Mandatory

Person's entire official name

This automatically defaults to values in the Title, First Name, Middle Name and Last Name fields.

Gender

Gender the person identifies with, from a defined list

Source

Heritage

Student's background, from a defined list

Examples: Aboriginal descent or Torres Strait Islander

Honours

Honours that the student has achieved

Image

An image for the student, for example, the person's photo

Image dimension limits: 200px (h) and 150px (w)

The system will attempt to re-size images to fit however for best results use an image below these maximum dimension limits

File size limit: 2 MB

If the Available for Public Portal? flag is Yes, this will be shared on the Public Portal.

Last Name

Person's official surname

Middle Name

Person's official middle name

Organisation

Only editable once the Person Code is selected and saved; use either this field or the Organisation field

External organisation name (text entry), if the organisation is not available from the Ext. Org. Code lookup

Overview

Student overview for sharing publicly

If the Available for Public Portal? flag is Yes, this will be shared on the Public Portal.

Person Category

Whether the student belongs to a special category, such as Emeritus, Honorary, External Collaborator

Preferred First Name

Person's given name that they prefer

Lookup to search for and add a person that already exists in RME

If not adding an existing person, this can be configured to allow the user to enter a value or for the system to auto-generate the code. For details, see User Code configuration.

Student ID of the person, if applicable

Supervisor?

Read only

Indicates whether the student is a supervisor for another student

If the Available for Public Portal? flag is Yes for the Student record, this will be shared on the Public Portal.

When you save the basic student details, additional related items are displayed.

All related items are listed in the Help Table of Contents to the left of this page.  Help pages are also context-sensitive, so you can click Help on an RME page to view the related help content.

 

Manage Student records

You manage core records from the module search page, Results tab. Select records in the grid and select the New, Delete and Export buttons on the toolbar in, see: Student search.

Automated updates can also be set up in Scheduled Tasks via the Action option. Using this feature, RME administrators can automate updates to records for HDR students, such as when a student is on leave, when they complete a course or submit a thesis.
