About this page

This related item for a Student record is used to store and view all enrolment and progress details for a HDR student, divided by course. Sub-items are available to record additional details for an enrolment.

When a student is newly enrolled in a course in RME, either directly or via an eForm pushed to the database, API, or feeder, new Examination related items are automatically created and set as current, based on the exam types defined for the course. You can add to or delete examinations that are automatically-created for the enrolment.

Automated updates can also be set up in Scheduled Tasks via the Action option. Using this feature, RME administrators can automate updates to records for HDR students, such as when a student is on leave, when they complete a course or submit a thesis.

Add Enrolment and Progress details

1.     In the Student record, open the Enrolment & Progress related item.

2.     At the far right of the related item, click Add.

3.     Complete the fields, using the table below as a guide. Some fields impact the study load calculation. For full details, see: HDR study load calculation.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button.

Apply RTS Prior Load?

Indicates whether you want to apply the accumulated prior RTS EFTSL from all eligible previous courses  for this enrolment

This can only be selected for one current course.

Assessment

Overall assessment outcome for a course, from a defined list

Candidature Start Date

Optional and blank by default

Date the student commenced their current research candidature at the institution

If a date is specified, the system will use that date to identify linked previous course records with the same Candidature Start Date in order to calculate the consumed load.

Comments

Additional notes about the course enrolment

Consumed Load

Total consumed study load (EFTSL) from the either the Course Start Date or Candidature Start Date (if used) to today's date, inclusive.

This value is calculated daily and if the Apply RTS Prior Load? option is Yes, it may include the RTS prior load value.

Note In relevant HDRCM eForms, the Consumed Load field will be populated based on the eForm creation date, except for the Supervision Details and Other Course Enrolment Related Item Controls (RICs), which will be populated with the latest value in the Student core record.

Mandatory

Course Start Date

Date the student commenced studies for the course

This field is required to start the study load calculation. The EFTSL consumption will start from this start date, and this date is used in the HDR study load calculation.

Current?

Indicates if the course enrolment is currently active for the student

Making a course non-current will create a Previous Course record with the same Candidature Start Date as in the original course record.

Current Study Mode

Study mode for the student for the present load

Date1

Optional date that can be used for various notifications and workflow progressions to inform students

May be re-labelled to suit your processes, for example, "Estimated Work Submission Date".

Date2

Optional date that can be used for various notifications and workflow progressions to inform students

May be re-labelled to suit your processes, for example, "Funded Estimated Completion Date".

Date Completed

Date the student completed the course

If completed, the load calculation will stop on this date unless a Withdrawn Date is given, in which case the load calculation will stop on that date instead.

Date of enrolment

Enrolment Status

Status of the course enrolment, from a defined list

Examples: AS Active Student, LA Leave of Absence, GS Graduated Student

Expected Completion

Last agreed date that the institution expects the student to complete studies

This date field is a real time indicator of when the student should complete their studies. In most cases this date will be the same as the Gov. Funded Completion date entered at the start of the studies. However, special leave or an approved extension can extend the Expected Completion date if a student cannot complete their studies as initially expected.

Fees Paid

Fees paid for the enrolled course

Field of Education

Relevant field of education (FoE) classification for the course

Format: Letters and/or numbers

Funded EFTSL Balance

Remaining funded study load (EFTSL) balance calculated daily by taking away the Consumed Load from the Funded EFTSL value entered in the Course record

Funding Mode

The method by which the student is being funded, from a defined list

Last date the student submitted the for the course

Minimum Completion

Earliest date the student can complete their studies

Original Study Mode *

Mandatory

Whether the student was studying full-time or part-time when commencing studies, from a defined list

Other Funded Completion

Date that student is funded to complete their studies with additional funding after their government funding has run out

This date will only be populated with an approved, funded extension to the HDR studies.

Other Leave (Days)

Total of approved leave, in days

Approved leave does not affect load calculation or progress dates.

Outcome Date

Only displays if an outcome is selected in the Assessment field

Date that the overall assessment outcome for a course was added

Present Load

Current study load consumption rate (EFTSL/year)

The current study mode description is displayed next to the load based on the this value and the threshold value for full-time/part-time studies.

The threshold value is taken from the first-found value from the following records:

        Threshold value from the enrolled course definition

        Threshold value for PT/FT in the RME system preference settings

Progress Comments

Any relevant comments on the student's  progress

Primary?

Indicates if the enrolled course is the primary course for the student

If you want to change the primary, edit the current primary to slide this to No, then set the new one as the primary.

Report Frequency

Frequency with which the student must submit progress reports

This is an information field only and is not connected to any other field or load calculation.

Report Status

Status of a submitted report

RTS Prior Load

Accumulated prior RTS EFTSL if the student has consumed RTS load in previous courses

Special Admission?

Indicates if special admission has been requested by the student

Special Admission Type

Only displayed if the Special Admission? is Yes

Type of special admission requested, from a defined list

Special Leave (Days)

Total special leave days taken during the course

Special leave affects load calculation and progress dates.

Spcl Consideration?

Indicates if the student requests special consideration for the selected course

This is an information field only and is not connected to any other field or load calculation.

Start Load

Initial study load consumption rate (EFTSL/year) when the student commences their studies

This is normally 1 for full time study or 0.5 for part half time study but can be changed in either System Preferences or in the Course record in the Course Spec. Study Rate field for the following preferences:

        Nominal Semester Full Time

        Nominal Semester Part Time

The initial study mode description is also displayed next to the field. The initial study load and the subsequent changes to the study load are maintained through the Study Mode Change related item.

When a Withdrawal Date is entered for a course:

        The Enrolment Status for the course in the Enrolment and Progress related item becomes non-current.

        The load calculation will stop on this date.
