This related item is used to control access to core records by organisational units, sometimes referred to as AOUs (Administrative Organisational Units), departments or faculties.

If you assign access to an Org. Unit to a user, they will be able to access all records of that Org. Unit as well as records of any subsidiary Org. Unit that sits within the assigned Org. Unit hierarchy.  You can assign more than one Org. Unit to a user.

If you have the required access to change your own User record, be aware that if you make changes to this related item and save, changes will be applied immediately, which may impact your access or permissions and result in limited functionality.

This related item is not available if All Level User? field in the User record is Yes. Users with this setting will automatically have access to records of all org. units, but filtered by any data access security that has been applied, such as by Project code, Ethics Category, Contract code, or Fund Scheme code.

Assign an Org. Unit to a user

To assign user access to records based on an Org. Unit, follow these steps:

1.     In the user details page, open the User Org. Units related item, if not already displayed.

2.     At the far right of the related item, click Add.

3.     In the Code lookup field, search for and add the Org. Unit.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button. The code and name of the Org. Unit will be displayed in the related item grid.

5.     To add another Org. Unit for the user, click New in the toolbar and repeat steps 3 and 4.

 

Remove an Org. Unit from a user

To remove user access to records based on an Org. Unit, follow these steps:

1.     Go to the user record and open the User Org. Units related item.

2.     In the grid, tick the checkbox to the left of the Org. Unit for which you want to remove access.

3.     Click the Delete link to the top right of the grid.

4.     In the confirmation popup, click OK. If you don't wish to delete it, click Cancel.
