RME > Setup > Committees > Committee record

This related item is used to capture information about the people that form the committee. Members are added individually.

Most of the member details are taken from the Personnel module.  However, some fields can be modified to reflect the person's unique relationship to the particular committee they are involved with, for example, committee member position.  Modifying the data in the Committee Members related item does not affect this person's details anywhere else in the system.

Menu path: RME > Setup > Committees (Search) > Committees > Committee Members

 

Add a committee member

1.     In the Committee record, go to the Committee Members related item.

2.     At the far right of the related item, click Add.

3.     Complete the fields, using the table below as a guide. When you select an existing person via the lookup in the Person Code field, some fields will be auto-populated.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button. When you save the basic details, additional related items become available: Committee Member Org. Unit and Committee Member Contact Details.

If the person’s association is no longer current, slide this to No. The person will no longer have access to eForms or meetings that have been assigned to the committee (unless they have additional access via a different current role or permission).

Ext. Org. Code

Only editable once the Person Code is selected and saved; use either this field or the Organisation field

Lookup to search for and select an external organisation from the list of existing organisations if the person is external

For an existing external person, this is populated with data from the Personnel module. These details can be changed.

Once you select an organisation from the lookup, the Organisation field will become read only.

FTE/EFTS on other Committees

Time spent on other committees

For example, if the person will spend the equivalent of 4 days full time per week on other committees, enter 0.8.

The value in this field and the FTE/EFTS on this committee must total 1.0.

FTE/EFTS on this Committee

Time spent on this committee

For example, if the person will spend the equivalent of 1 day full time per week on this committee, enter 0.2.

Gender

Read only for existing members; editable for new members

Internal Weighting

Internal weighting for the person, as required by your institution

Involved From

Date from which the person is involved in the committee

Involved To

Date to which the person is involved in the committee

Order *

Mandatory

Determines the order of this person in the list of committee members

Change this number if you wish to change the person's position in the list.

Organisation

Only editable once the Person Code is selected and saved; use either this field or the Ext. Org. Code field

External organisation name (text entry), if the organisation is not available from the Ext. Org. Code lookup

Person Code *

Lookup to search and add an existing person

If you cannot find the person and the Create option is available, you can create a new record for the person. In this case, this field can be edited if the code is not automatically generated.

        Only one member can be primary.

        If you want to change the primary, edit the current primary to slide this to No, then set the new one as the primary.

Type

For existing members, populated from the Personnel record but can be changed

Person type

For new members, select from the dropdown

For an external person, select External and enter organisational affiliation details in either the Ext. Org. Code field or Organisation field after saving at least the Person Code.

If the type is not External, add or edit the Committee Member Org. Unit related item.

You manage related items in the core page. Click the Add, Delete and Export links at the right of the related item in Committees.
