About this page

This page is used to record a person's details. When a Personnel record is created, only minimal information is required initially. Additional information can be entered once the basic details are saved. In addition, a Personnel record can have a number of custom fields added for your institution.

Menu path: RME > Personnel > Personnel

 

Add a new Personnel record

1.     In the RME Menu, select Personnel to display the module search page.

2.     In the toolbar, click the New button.

3.     Complete the fields, using the table below as a guide. There are several sections in this page.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button. When you save the basic details, additional related items appear.

Description

Available for Public Portal?

Only if the Public Portal is licensed

Indicates if the person's details are to be shared in the Public Portal, available to the general public

If enabled, specific fields will be reflected in the portal, if available for the person. For details, see: Public Portal

Comments

Additional information about the person

Confidential?

Indicates whether the record is confidential, which can only be viewed by those with permissions for confidential records

Consultancy Rate

Hourly rate paid to this person for consultancy work

        This must be a number value; it can be up to two decimal places.

        It cannot be a negative number.

        If the Costing and Pricing Tool is used, this can be used in project costing calculations. In RPR eForms used for CPT, it populates the Individual Consultancy Rate field in a Linked Personnel or New Staff RIC.

Country of Birth

Where the person was born, from a defined country list

Current?

Yes by default

Indicates if the Person record is currently active

If the record is no longer current, slide this to No.

Date of Birth

Person's date of birth

Deceased?

No by default

Indicates if this person has passed away

This sets the person as non-current and prevents emails from being sent.

Exception: If an email address is entered manually, the system does not check this indicator because the address could be for another person not in the system.

Employment Start Date

Date the person started work at the institution

Note icon If the Costing and Pricing Tool is used, and step progression is enabled in Institution Level rules, set as Employment Anniversary Date, this date is not used. Refer to the Employment Details related item, Held From field.

Examiner?

Indicates whether the person is an examiner for a student's enrolment

Ext. Org. Code

Lookup to search for and add an external organisation that the person is affiliated with

First Name

Person's official given name

Full Name *

Mandatory; automatically defaults to values in the Title, First Name, Middle Name and Last Name fields

Person's entire official name

Gender

Gender the person identifies with, from a defined list

Source

Heritage

Person's background, from a defined list

Examples: Aboriginal descent or Torres Strait Islander

Honours

Honours that the person has achieved

Image

An image for the person, for example, a photo

Image dimension limits: 200px (h) and 150px (w)

The system will attempt to re-size images to fit however for best results use an image below these maximum dimension limits

File size limit: 2 MB

If the Available for Public Portal? flag is Yes, this will be shared on the Public Portal.

Last Name

Person's official surname

Middle Name

Person's official middle name

Organisation

External organisation name if you could not find it in the Ext. Org. Code lookup, or as an additional external organisation

Overview

Researcher overview for sharing publicly

If the Available for Public Portal? flag is Yes, this will be shared on the Public Portal.

This can be formatted as required. See: Text editing toolbar

Person Category

Whether the person belongs to a special category, such as Emeritus, Honorary, External Collaborator

Person Code *

Mandatory

Unique identification number for the person

This can be configured to allow the user to enter a value, or for the system to auto-generate the code. For details, see User Code configuration.

Person Type

Read only

Current person type within the organisation from the Person Types related item

Preferred First Name

Person's given name that they prefer

Preferred Full Name *

Mandatory; automatically defaults to values in the Preferred Title, First Name, Middle Name and Last Name fields

Person's entire name that they prefer

If the Available for Public Portal? flag is Yes, this will be shared on the Public Portal.

Preferred Last Name

Person's surname that they prefer

Preferred Middle Name

Person's middle name that they prefer

Preferred Title

Person's title, such as Mr, Ms, or Dr, from a defined list

Registered From

Only editable if the Supervisor? flag is Yes

Start date of the supervisor's current registration

Cannot be after the date in the Registered To field.

Registered To

Only editable if the Supervisor? flag is Yes

End date of the supervisor's current registration

Cannot be before the date in the Registered From field.

Residency

Current country of residence for the person

Staff ID

Staff ID of the person, if applicable

Student ID

Student ID of the person, if applicable

Supervisor?

Read only

Indicates whether the person is a supervisor for an existing student

If the Available for Public Portal? flag is Yes, this will be shared on the Public Portal.

Supervisor Level

Read only; shown if Supervisor? is Yes

Supervisor level

Supervisor Role

Read only; shown if Supervisor? is Yes

Supervisor role

Title

Person's title, such as Mr, Ms, or Dr, from a defined list

Visa Details

Additional details about the person's visa

When you save the basic personnel details, additional related items are displayed.

All related items are listed in the Help Table of Contents to the left of this page.  Help pages are also context-sensitive, so you can click Help on an RME page to view the related help content.

 

Manage Personnel records

You manage core records from the module search page, Results tab. Select records in the grid and select the New, Delete and Export buttons on the toolbar in, see: Personnel search.

Administrators: You can add or manage custom fields for this page in Table Auditing - Custom Fields.  Note also that you will not be able to create a Personnel record for a user account marked as Connection Account? = Yes. This type of user account is used in the back-end only for services such as APIs, feeders or other integration services.
