Project eForms are online forms used to enter details, answer questions, review and process information related to research project applications, such as project/grant applications.
The eForm listing page is used to create or find eForms related to projects.
For RME administrators and office staff with relevant permissions, this page is also used to search for and manage eForms. Additional tabs display for Advanced (search) and Results.

The eForms shown on the eForm listing page will depend on your role, access and permissions. If you don't see an eForm that you expect to see, contact your RME administrator.

RME data security access is also applied so ensure that the role has access
to the core records used in the eForm as well. For more, see: Access

1. To create
a new eForm, go to the main toolbar and select the New
button. A panel with a selection of eForm templates displays.
You may also be able to create a new eForm from an eForm
Templates widget if one is set up for the Project eForm domain on
your dashboard.
2. Select the eForm template you want to use and select OK or Next.
3. In some cases, you can create a new form using the same details from a previous form, so you don't need to re-enter the details, for example, for an amendment. This depends on the eForm template you selected.
• If this is not the case, go to step 4.
• If this is the case, a popup displays with a list of existing eForms that you can access. Select the one you want to use and click OK. If you don't want to copy details from an existing eForm and the Create New Without Base option displays below the list, tick this. All fields will be blank and you will need to complete them in the new form.
4. The eForm opens and you can start completing the fields. For more, see: eForm layout and tools and Use an eForm. Once you create a new eForm, it will follow the associated workflow process until completion.
View the lists on the tabs for My Applications, For Review, and For Assessment Review, depending on your role. To open an eForm, click the Open icon next to it in the grid. The eForm will open in a new browser tab.
The grid in each tab displays selected details by default, such as Project Code, Project Title and Primary Fund Scheme, Primary Investigator, Status and Workflow State. This may vary based on how your RME administrator configured this page.
If you have Allow Manage Applications permission for the Research Project Request (RPR) eForm listing Page View, you can also search using the Advanced tab. Enter your search criteria and press the <Enter> key.
Search results display in the Results tab. The eForms that display in the list will depend on your access and permissions.
To open an eForm, you can either:
• Select the Open icon next to the record in the grid.
• Tick the checkbox to the left of the record and click Open in the toolbar.

If you have been assigned with the Allow Bulk Navigation page action for the page, you will be able to view each record from search results in succession by using the Previous/Next or Previous eForm/Next eForm options. You will be able to view all records or eForms related to the displayed page or from search results.
If you have been assigned with the Allow Bulk Update page action for this page (RPR005M), you will be able to select multiple eForms based on the same template and update the status and/or workflow state via the Actions button on the toolbar, Application Bulk Update option.
The toolbar offers different actions based on your role, access and permissions:
• Actions > Application Bulk Update (only with specific permission) to bulk update the status or workflow state for multiple eForms based on the same template
• Columns to change the grid layout
• Copy to copy an existing eForm and reuse some details
• Costing and Pricing Tool to open the Costing and Pricing Tool, if used
• Delete to delete one or more eForms
• Export to export eForm details from a grid
• New to create a new eForm (see above)
• Reports to open reports for eForms
To manage RPR eForm applications efficiently, you can use an Application Bulk Update function to change the status of selected RPR eForms, and/or move them to an end workflow state (provided the workflow has an end state). This requires specific permissions.
This may be useful, for example, when a fund scheme round has ended, to move unsuccessful eForm applications to an end state with an appropriate status.
To control who can bulk update, the Allow Application Bulk Update page action is available for this Page View RPR005M. This option is only editable if the Access Type for the view is Full Access, Create-Edit Only, Edit Only or Read-Only. Users with the Allow Bulk Update page action marked as Yes can select multiple eForms based on the same eForm template in the eForm listing page. It is advisable that these users are also assigned the Allow Manage Application page action so they can search for eForms.
To update multiple eForms, follow these steps:
1. In the eForm listing page, search for the eForms you want to update. Note that you will only see eForms listed based on your data access security.
2. In the grid, select each eForm you want to update by ticking the box to the left of the eForm line. There is no "Select All" option.
3. In the toolbar, select the Actions button, then select the Application Bulk Update option to configure the update.
4. In the Application Bulk Update popup, a grid lists the selected eForms. The columns that display in this popup are those marked as Field in Grid? = Yes in this Page View RPR005M. You can use standard column management to reorder the columns and so on. It's a good idea to review the list to confirm that you want them all updated.

6. Select the Start Action button. Be aware that once you select this button, the process cannot be cancelled or reversed (although you could create another bulk update to change the status and/or workflow state back to the previous value, if needed).
Results: While the update is in progress, the Action Successful? column in the popup grid displays as Processing. When the update is processed, the outcome is indicated in this column, as follows:

The eForm could not be updated. Select this linked text. A message displays under the grid with details so you can try to resolve the issue. If the Project Code column is included in the popup grid (depending on fields marked as Field in Grid? = Yes in the Page View), the message includes the code to aid identification. If Project Code is not included, the message includes the Application ID instead. When there is at least one failure, the Start Action button changes to Retry Action. Investigate each failure, resolve the issue/s, and click the Retry Action button to run the update again. Only previously failed eForms will be updated, provided there are no further issues. To close the popup, select the Close button. |
In a rare case, a message may display: "An error has occurred. Try refreshing the page, or contact your RME administrator." There can be different causes. The Application Bulk Update popup will not display. As an example, this will display if you select an eForm and someone else has just deleted it, and you then select the Application Bulk Update option. As the eForm listing page does not automatically refresh, you will not be aware that the selected eForm was deleted. When you refresh the page, that eForm will no longer be listed.
