About this page

This core record details page is used to record and maintain the details of a project. When a project is created, only minimal information is required initially. Additional information is entered over time as the project progresses.

The minimum system requirement to create a Project record is the Project Code and Title, however additional fields may be mandatory. If unsure or having issues, contact your RME Administrator to check the minimum requirements for your institution. In addition, a Project record can have a number of custom fields added for your institution.

Administrators: Add or manage custom fields for this page in Table Auditing - Custom Fields.

You can have multiple versions of the Project record if created using eForms.

Menu path: RME menu > Projects (search) > Project

 

Add a new project

1.     From the RME menu, select Projects > Projects to display the module search page.

2.     In the toolbar, click the New button.

3.     Complete the fields, using the table below as a guide.

4.     In the toolbar, click Save. To go back to the previous page, click it in the breadcrumb trail or use your browser Back button. When the details are saved, related items become available to record additional details:

Applied %

Percentage of the project that falls under the weighting area of 'Applied'

The total percentage of Applied %, Experimental %, Pure % and Strategic % fields, as shown in the Total % field, cannot be greater than 100.

If you want to customise the field label, it is available in Global Label Preferences. Changing the global label will change it in the core record as well as eForms.

Available for Public Portal?

Only if the Public Portal is licensed

Indicates if project details are to be shared in the Public Portal, available to the general public

If enabled, specific fields will be reflected in the portal, if available for the project. For details, see: Public Portal

Closed?

Indicates that the project is closed

There are three steps to completely close a project that will reflect in this setting:

1.     Change Current? to No.

2.     Enter a date in the Date Closed Off field.

3.     In the Status field, select the Closed Off option.

Additional information about the project

Confidential?

No by default

Indicates if the project record is confidential

Current?

Yes by default

Indicates if the project record is currently active.

If the project is no longer current, slide this to No.

Data Details

Details about where the results of the project are or will be located

Date on which the application was made

Date Approved

Date on which the application to start work on the project was approved

Date Closed Off

Date on which the project was closed off

Date Combined

Date on which the project was combined with another project, if relevant

Date Rejected

Date on which the application to start work on the project was rejected, if relevant

Date Transferred

Date the transfer of project monies was made

Date Withdrawn

Date on which the application was withdrawn, if relevant

Description

Full description of the project from the application

End Date

Date when work on the project finished or should be completed

Entry Status

Data entry status, for example if it's imported, an initial entry, or a renewal entry

Ethics Clearance From

Ethics clearance start date

Ethics Clearance Issued?

Indicates if ethics clearance has been issued

Ethics Clearance Required?

Indicates if ethics clearance is required for this project

Ethics Clearance To

Ethics clearance end date

Experimental %

Percentage of the project that falls under the weighting area of 'Experimental'

Extension Approved

Indicates whether a project extension has been approved

File Reference

File reference number, for example, if a hard copy file exists for the project

Folio Reference

Physical location or folio number, for example, if a hard copy file exists for the project

Funded?

Indicates whether the project is funded

Funding Type

Funding group to which the project belongs

Source

Government Category

Government research category the project belongs to, from a defined list

Source

Keywords

List of keywords applying to the project

Monies Transferred

Details about the amounts and purposes of the monies that were transferred

Primary Contact

Read only

Name of the person marked as the Primary investigator

For this module, a person can be a primary contact even if they are non-current.

Primary Function

Short description of the main purpose of the project

Primary Fund Scheme

Read only

Name of the primary fund scheme for the project, as shown in the Fund Scheme related item

Primary Org. Unit

Read only

Primary Organisational Unit of the project

Progress Status

Project progress status, from a defined list, depending on your institution's processes

Project Code

Unique code to identify the project record

This can be configured to allow the user to enter a value or for the system to auto generate the code. For details, see User Code configuration.

Project Title *

Mandatory

Official name of the project

If the Available for Public Portal? flag is Yes in the Project record, this will be shared on the Public Portal provided that the researcher is listed as an investigator on the project.

Pure %

Percentage of the project that falls under the weighting area of 'Pure'

The total percentage of Applied %, Experimental %, Pure % and Strategic % fields, as shown in the Total % field, cannot be greater than 100.

Type *

Mandatory

Type of project, from a defined list

This field is used to assign access to data records. To be able to view a Project record of a particular project type, your RME Administrator must assign access to that project type to your user record or role. See: Project access security.

Source

Version

Indicates the version of the record

        If the version is empty, no other version of the record exists.

        If the version is 0, this is the original record based on which a higher version was created.

        The record will be non-current if a higher version of the record exists.

        Only one version of the same record can be current at any time.

To find all versions of the same project, you may be able to use Advanced Search using the project code, depending on your permissions. For more, see: Copy records and versions.

Timeline

A graphic representation of Significant Events related to the record.

 

Related items

When you save the basic project details, related items become available. For example, you can record details for investigators, facilities, funding and other related information for the project.

To see help pages for all related items for a Project record, go to the Help Table of Contents to the left of this page under Project record.  Help pages are also context-sensitive, so you can click Help on an RME page to view the related information.

To manage a related item, open it from this core page and select from the Add, Delete and Export links at the right of the related item. To edit an item, click the row to display the details.

 

Manage Project records

You manage core records from the module search page, Results tab. Select records in the grid and select the New, Delete and Export buttons on the toolbar in Projects search.
