This page is used to enter quotation details to generate a quotation for a funding organisation. 

 

Prerequisites

This page only displays and is editable if all of the following criteria are met:

  1. An applied Project Type Level funding rule has both of the following settings:

        Use Pricing for Consultancy Projects? = Yes

        Use Quotation Builder = Yes

  1. A primary fund scheme and organisation is identified for the project.
  2. You have access to the Quotation Builder Page View CPT029 with Edit permission via either a role or User Page Views.
    If not, contact your RME administrator.
  3. The corresponding eForm application is in an editable state for you.
    Background: If the eForm is read-only, this is usually because it is in a workflow state that does not involve you. For example, as a researcher, when you submit an eForm for Grants Office or Review, you can still view it but you can't edit it. In this case, when you go to CPT via the Costing and Pricing button in the eForm, CPT pages with editable elements will also be read-only.

The quotation output can only be viewed and used if the following criteria are met:

        The quotation output report is available for the project via the filter settings in the Output Configuration page (RME > Projects > Funding Rules > Output Configuration tab).

        The Costing and Pricing Tool Quotation output report has been assigned to your role.
If not, you won't be able to view or send the quotation output. Contact your RME administrator.

 

Build a quotation

Begin by entering details in the Organisation Details section about the funding organisation displayed in the Organisation Name field. This is automatically populated by the organisation associated to the primary fund scheme, shown in the Funding Rules page in the tool.

Long values in the grid: For some values in the grid, if it is longer than the column width, it is truncated with ellipses (...). You can either change the column width to show the full value or mouse over it to view a tooltip of the full value.

Organisation Details: Fields

ABN

Australian Business Number for the organisation

Auto-populated with the ABN for the organisation, if available.

This can be edited in the tool for quotation purposes but the changed value will not be reflected in the core record.

Address

Default: Address selected  for the organisation in the fund scheme RIC in the eForm

Address for the quote

Address options for the organisation display in a dropdown, if available. The list shows concatenated text of all the address fields.

Contact Email

Default: Contact email for the selected address for the organisation

Email address of the contact person at the selected organisation address

This can be edited in the tool for quotation purposes but the changed value will not be reflected in the core record.

Contact Name

Default: Contact name for the selected address for the organisation

Name of the contact person at the selected organisation address

Default: Contact position for the selected address for the organisation

Role held by the contact person at the selected organisation address

This can be edited in the tool for quotation purposes but the changed value will not be reflected in the core record.

Default: Fax number for the selected organisation address

Organisation Name

Read only

Name of the organisation selected for the primary fund scheme in the eForm

Phone

Default: Phone number for the selected organisation address

Default: Website for the selected organisation address

Quotation Details: Fields

Once the organisation details are completed, you enter the details for the quotation, using the table below as a guide:

Balance to Quote

Default: Total Project Amount (excl. GST) from the Project Price (adjustments) page

Running balance of the total price less entered cost for each item in the cost item grid

Government Services Tax amount based on the Total (ex. GST) and the GST% field in System Preferences

(Cost item grid)

Grid to enter each cost item for the quotation

One line is shown by default. You can add more lines as needed via the Plus (+) icon at the end of the line.

For each item, enter details in the columns of the grid as follows:

        Item: Number of the item

        Description: What the item is

        Cost (AUD): Cost of the item in Australian Dollars

Amounts cannot be negative.

Amounts can be to two decimal places.

A running total of the costs displays in the Total fields below the grid. The Balance to Quote value will reduce by cost amounts.

To delete an item, click the Bin icon at the end of the line.

Optional Header Text

Text that displays below the quotation header

Quotation Date

Default: Today's date

Date of the quotation

Quotation Number

Default: Project Code or eForm Application ID

Identifier for the quotation

If versions are used, the version number is included along with the Project Code or Application ID.

Source

Total (ex - GST)

Total of all items entered in the cost item grid, without GST applied

The total cannot be greater than the Total Project Amount (excl. GST) in the Project Price (adjustments) page.

Total (incl. GST)

Total of all items entered in the cost item grid, with GST applied

Valid to

Date to which the quotation is valid

This cannot be earlier to the Quotation Date.

 

Generate a quotation

Once all the details are entered, save the quotation via the Save button on the toolbar.

The details are entered into a quotation output for the Costing and Pricing Tool module, created as a report in RME Designer.

You can view this via the Output button on the toolbar. This can be saved in the following formats: PDF, XLS, XLSX, RTF, MHT, HTML, text, CSV and image. You can send this in the desired format to the funding organisation (via internal processes or approval if this is required by your institution).

Outputs

Costing and pricing outputs available for the project and your role

Outputs with CPT data are created and managed by your RME administrators or office staff. They can be provided for different purposes, funders or stakeholders.

Close

Returns you to the eForm costing and pricing summary page that has the button/link to open the tool

 

Navigation panel

The panel on the left includes a list of the pages available. Page status indicators are used to inform you about the status of each page.

The Totals section at the bottom of the panel displays an overview of the project totals (read only). See: Project Summary, Totals
